A chatbot usually answers a request. An AI agent can take several steps, use tools and check a result. A workflow tool such as n8n, Make, Zapier or Power Automate connects apps using set rules. Coding harnesses such as Codex or Claude Code can inspect and change software.
These products are different. A team should choose the type of system after it defines the job.
Start with the outcome
Suppose a manager wants to turn meeting notes into assigned actions. A simple workflow may be enough: collect the transcript, create a draft list, ask a person to approve it and then update the task system.
An open-ended agent is only useful if the job needs planning or changing steps. More freedom also creates more ways to fail.

Choose the right route
Use a workplace assistant such as ChatGPT, Claude, Microsoft 365 Copilot or Gemini when a person is doing the task and can review the answer.
Use a workflow platform when the steps are known and repeatable. Use an API when the function must sit inside your own product. Use a coding harness when the output is software or an editable digital product.
For example, a team making a complex PDF could use Codex or another coding harness to build editable HTML and a print-ready PDF. Canva may be easier for visual no-code changes. Acrobat may fit PDF-native edits.
Set limits before launch
Give the system only the access it needs. Require approval before sending a message, changing a customer record, spending money or publishing content. Set time, cost and step limits. Keep logs.
Test with real cases, including missing data and unclear requests. A successful demo is not proof that the workflow is safe.
Count the full cost
Include model use, platform fees, storage, connectors, staff review and maintenance. A low API price can sit inside an expensive process.
Your next step
Write one sentence that describes the result, the user and the point of human approval. Then compare one assistant, one workflow tool and one custom route. Join the AI Excellence Hub for guided tool courses, or log in.
